An enterprise client needed a complete workplace community platform from scratch — discussion forums with threading, event management with calendar sync, resource sharing with role-based access, team analytics, and enterprise-grade security. They had already received two agency proposals: both estimated 6 months of development with a team of 8, at a budget exceeding 200K EUR.

The Challenge
An enterprise client needed a complete workplace community platform from scratch — discussion forums with threading, event management with calendar sync, resource sharing with role-based access, team analytics, and enterprise-grade security. They had already received two agency proposals: both estimated 6 months of development with a team of 8, at a budget exceeding 200K EUR. The client needed to launch before Q2 to align with a company-wide digital transformation initiative, making the traditional timeline unacceptable.
Discovery Phase
We conducted a 2-day intensive discovery sprint with the client's HR and IT leadership. We mapped every user role (admin, manager, team lead, member, guest), documented 47 user stories, and prioritized them using a MoSCoW framework. The critical insight: 60% of the requested features followed standard SaaS patterns that our AI agents could scaffold in hours, not weeks. The remaining 40% — custom permission logic, enterprise SSO integration, and the analytics engine — required human architectural decisions.
Our Solution
Using the Agentik {OS} system, Ralph built the frontend and API layer while a human architect designed the data model and permission system. The multi-tenant architecture leverages Convex's built-in data isolation and function-level access control to ensure complete separation between organizations. MANIAC ran 100+ security tests including SQL injection, XSS, CSRF, and privilege escalation attempts — all passing before the first staging deployment. The client had a working staging environment by the end of week 2 and provided daily feedback that was incorporated within hours.
Architecture
The platform follows a modular monolith architecture with clear domain boundaries. Each feature (forums, events, resources, analytics) is a self-contained module with its own Convex functions, tables, and UI components. This allows independent scaling and future microservice extraction if needed. Real-time features use Convex's built-in reactive subscriptions for instant updates across all connected clients.

“We got two agency quotes for 6 months and 200K+. Agentik {OS} delivered the same scope in 4 weeks at a fraction of the cost. The quality exceeded what we expected from a traditional team. The daily staging updates meant we could course-correct in real time instead of waiting months for a reveal.”
Lessons Learned
Enterprise clients value daily staging access over weekly demos — it builds trust faster
Row-level security should be designed before the first line of application code
AI content moderation needs a human review queue from day one — false positives erode user trust
